Opening Date

        • Opening date is the first day registrations will be processed for an event.
        • You may send in registrations prior to the opening date.
        • Event registration will not be complete until payment (event fee or deposit) is submitted and

          checked  for accuracy.  It is then held until the opening date.
        • Sending in registrations before the opening date does not mean you will be guaranteed

          registration for the event.

Closing Date

       • Closing date is the last day registrations will be accepted. This deadline is enforced so we can be

          prepared for the appropriate number of girls. For girls to have the best possible experience, we

          need this time to properly prepare for supply purchases, venue confirmation, program

          aide/volunteer scheduling and other tasks.  Registrations received after an event is closed will be

          returned to the adult contact noted on the form.
        • An event will stay open for registrations until the closing date or until all spots are filled, which

          ever comes first.  Registering for an Event or Learning Opportunity

        • Phone or email registrations are not accepted.
        • Registration form and payment must be received into Event Registrar office by 5:00pm

          on the closing  date.

Payment

       • Payments will be processed upon receipt of registration form, after the opening date has passed.
       • For events $25 or less per attendee, full payment must be sent with the event registration form.

         For events over $25 per attendee, a deposit of at least $15 per person may be sent with the

         registration form.
       • Events must be paid-in-full at least three weeks prior to the event.
       • Check, credit card and money orders are accepted. Make checks payable to

         Girl Scouts—Dakota Horizons.
       • A separate registration form and payment are required for each event.
       • One payment or check per registration form.
       • Dakota Certificates and Financial Assistance may be applied in addition to check,

         credit card or money order payment.

Financial Assistance
       • Girls and adults may be eligible for financial assistance. Parent or guardian must complete the

          Financial Assistance Application, to be submitted with the registration form. Financial assistance

          forms may be found online at www.gsdakotahorizons.org.

Participants with Special Needs
        • Please list any special needs (dietary, activity restrictions, etc.) on the Registration Form.

Policy of Non-Discrimination
         • No individual will be discriminated against because of race, color, national origin, age, handicap,

           or socioeconomic status.

Non-Member Girls
       • Girls who are not currently registered as Girl Scouts will pay the event fee plus an additional $10

         fee which provides supplemental insurance for the event.

Cancellations/Refunds
        • All cancellation/refund requests must be submitted in writing (US Mail, fax, or email) to the Event

           Registrar office.

        • Full event fee refunds will be issued in the following circumstances:
        • An event is cancelled by Girl Scouts—Dakota Horizons due to bad weather, low enrollment or

          adult/girl ratio is not met. Weather-related cancellations will be made via local TV and radio.

          Cancellations due to low enrollment or adult/girl ratio not being met will be made via email,

          phone or US Mail to the adult contact noted on the registration form.
        • Participant is unable to attend and written cancellation is received at least 5 weeks prior to the

           event date.
        • Serious illness or medical emergency.
        • Partial event fee refunds will be issued in the following circumstance:
        • Participant cancellation is received 3-5 weeks prior to the event date, and the event fee is over

          $20.00.  A partial refund will be issued for the per girl or adult event fee less a $15.00

          administrative fee.
        • No event fee refunds will be issued in the following circumstances:
        • Participant arriving late, leaving early, or attending only a portion of the event.
        • Participant cancellations received less than 3 weeks prior to event date.
        • An event is held but a participant chooses not to attend and written cancellation is not submitted

          by refund deadline.
        • Check, credit card and money order payments will be refunded via check from Girl

          Scouts—Dakota Horizons.Girl event fees paid for with Dakota Certificates will be refunded with  

          Dakota Certificates. Please allow 30 days after cancellation to receive your refund.
        • If you must cancel or someone cannot attend, please send written notice immediately, so we    

          can contact those on the waitlist.

Adult/Girl Ratios
        • To make every girl’s experience fun and safe, all events must meet the minimum adult/girl ratio

           required by Safety-Wise standards. If the minimum adult/girl ratio is not met, the event will be

           cancelled and refunds processed.

Waitlist Notices
        • When an event reaches maximum capacity, your registration will be placed in a waitlist status.

           The adult contact noted on the registration form will receive an email notification that you are on a

           waitlist within 5 business days of receipt of the event registration.

Confirmation Notices
         • Confirmations will be sent with program details after the closing date of an event. If you do not

            receive a waitlist notification or confirmation notice within 10 days of the event,

            please call 877-904-8168.

Substitutions
        • Substitutions are not allowed for girl participants. Substitutions are allowed for adult participants

          in order to comply with Safety-Wise adult/girl ratio. Please notify Event Registrar of any adult

          substitutions.
